POSITION: Administrative Assistant 
DAYS/HOURS: Monday – Friday 8:30 a.m. to 4:30 p.m., plus occasional evening trainings with one unpaid hour for lunch (35 hours) 
REPORTS TO: Finance and Operations Manager 
STATUS: Full-time, Non-exempt 
LOCATION: 7 Winthrop Square, Floor 2, Boston, MA, 02110  
HOURLY WAGE: $25.80/hour

SUMMARY OF POSITION: 

The Volunteer Lawyers Project of the Boston Bar Association (VLP) is seeking an Administrative Assistant to provide administrative support to the main office and accounting and human resources teams. The ideal candidate will demonstrate compassion for low-income populations and be sensitive to their legal needs and socioeconomic status, demonstrate strong cultural sensitivity and awareness, be reliable, motivated, and committed to public interest work and access to justice, and communicate effectively. The Administrative Assistant will develop and maintain a meaningful understanding of the organization’s programs and services to best serve VLP’s staff and clients.  

REQUIRED EDUCATION/EXPERIENCE/KNOWLEDGE:  

  • 2+ years consecutive experience working in an administrative assistant capacity or similar role 
  • Proficient in Microsoft Office suite, with moderate to advanced knowledge of Excel, Word, PowerPoint, and Outlook

PREFERRED EDUCATION/EXPERIENCE/KNOWLEDGE:  

  • Associate’s or bachelor’s degree 
  • Bilingual 
  • Experience performing basic accounting functions, such as entering transactions

  • Ability to commute to the office and work in-person 
  • Heavy use of computer and telephone 
  • Ability to travel and sit or stand for long periods of time 
  • Ability to communicate in person, by telephone, and via electronic communication

ESSENTIAL FUNCTIONS INCLUDE BUT ARE NOT LIMITED TO: 

  • Direct callers and visitors to the appropriate staff person or to the call center 
  • Handle the day-to-day administrative functions, tasks, and assignments 
  • Update, review, and monitor multiple calendars 
  • Support basic accounting, human resources, and other functions as assigned 
  • Data entry and preparation of acknowledgment letters using donor management system 
  • Prepare materials, computer equipment, and set up for trainings and meetings 
  • Provide support to all staff members as needed 
  • Maintain and coordinate all aspects of VLP’s inventory database 
  • Coordinate supply orders for staff and office 
  • Serve as back-up and support to quickly handle any computer, internet, telephone, or other technology and equipment issues 
  • Schedule and coordinate meetings for staff and Board of Directors 
  • Other tasks as needed
